March 2020, Houston starts to shutdown public events due to the COVID-19 outbreak.  The hospitality industry is rocked due to the cancellation of major events like The Houston Livestock Show and Rodeo and Offshore Tubing Conference (OTC.)  Even with the shutdown of events there was still a need for companies to maintain their marketing presence.  Enter the virtual tradeshow.

Originally this project was to be designed for a live tradeshow booth.  The booth was designed to have an 84” touchscreen, a 11’x2’ Absen LED banner, and a small 3’x3’ LED for one of the counters in the booth.  As event after event started to be cancelled there was a feeling that this too would be put on hold.   Then like predicted this event was officially cancelled but the need to continue was there.  The event was then moved to a virtual platform.

Planning a virtual event was new to me but all the same principles carried over to the virtual side of things.  The creative ideas were flowing as we laid out each of the companies’ booths and content.  I was put in charge of designing and creating banner ads for the different companies that would be participating.  Each would have their own custom logo intro animated followed by various motion graphic animations.

We learned that a pre-created booth template had to be used.  All the screens for content had a set aspect ratio that could not be changed.  Everything was in a 2D layout and there was not much control over booth colors, textures, or how the user would interact with the content.  The original plan was to have these banner ads playing live on the virtual layout “LED Screens.”  Unfortunately, while we had control of all content design, we did not have control of the actual booth layout and how it operated.  Once uploaded to the website we learned that the movies did not play live like a real tradeshow.  Instead, the banner ads had to be clicked on to play.  This was disappointing because the flashiness of the videos is what makes a tradeshow booth appealing.

With all these challenges in place we pushed to make these pre-created looks as good as possible with banners that drew the client’s eyes to the center of the booth.    All in all, it was a successful conference with clients being able to talk live with the subject matter experts through the embedded live virtual chat rooms.  I look forward to the growth of these virtual tradeshow platforms.  There is so much more that I can see being implemented in the future.
